IdeaDraft AI Privacy Policy

1) The Short Version

• We use your microphone audio to transcribe what you say using Deepgram.
• We do not store raw audio recordings on our servers.
• By default, we do not store transcripts after your session is processed.
• We store documents you choose to save to your IdeaDraft account (cloud storage).
• If you explicitly opt in to "Improve IdeaDraft," we store transcripts and related outputs for a limited time to help improve the Service.
• We use Google's Gemini API (ai.google.dev) to generate and structure drafts from transcript text. Google may retain prompts/outputs for a limited period for abuse monitoring and policy enforcement.

2) Definitions

• "Audio Input" means audio captured from your device microphone during a recording session.
• "Transcript" means text generated from Audio Input.
• "Document" means content you create or save in the Service (e.g., drafts, notes, outlines), including edits you make.
• "Improve IdeaDraft" means an optional, explicit opt-in program to allow IdeaDraft to retain transcripts and outputs for service improvement.

3) Information We Process

A) Audio Input (Microphone)

When you record, the Service accesses your device microphone (with your permission) to capture Audio Input.

• Where it goes: Audio Input is sent to our transcription provider (Deepgram) to produce a Transcript.
• Storage: We do not store raw Audio Input on our servers.

B) Transcripts (Default: Not Stored)

A Transcript is generated from Audio Input and used to provide the Service (for example, to generate a draft).

• Default behavior: We do not store transcripts after processing is complete, except for short-lived, transient processing necessary to provide the Service (e.g., in-memory or temporary processing buffers).

Important note: If you choose to save a Document, that Document may contain text derived from what you said, and we store that Document (see Section 3C).

C) Documents (Stored in the Cloud)

If you create or save Documents, we store those Documents in our cloud backend so you can access them across sessions/devices.

Documents may include personal information depending on what you choose to record or type.

D) Improve IdeaDraft (Optional Opt-In: Transcripts Stored)

If you opt in to Improve IdeaDraft, we store:

• Transcripts
• The model output text generated from those transcripts (e.g., draft results)
• Limited metadata helpful for improving the Service (e.g., language, app version, timestamps related to processing, and any feedback you submit)

We still do not store raw Audio Input.

E) Account Information

If you create an account, we process:

• Email address (or other login identifier)
• Account ID and authentication information
• Your settings and preferences (including your Improve IdeaDraft opt-in status)

F) Diagnostics and Security Data

We may process limited technical data to keep the Service reliable and secure, such as:

• App version, device/OS version
• Crash reports and error diagnostics
• IP address and timestamps in server logs (e.g., for security and abuse prevention)

We design diagnostics to avoid collecting transcript or document content.

G) Support Communications

If you contact support@ideadraft.ai, we process what you send us (for example, your email address, message contents, and attachments).

4) How We Use Information

We use information to:

• Provide the Service (transcribe audio, generate drafts, and store Documents you save)
• Maintain, secure, and debug the Service (fraud prevention, abuse prevention, performance monitoring)
• Provide customer support and respond to requests
• Comply with legal obligations and enforce our terms

5) How We Share Information

We do not sell your personal information.

We share information only:

• With service providers ("processors") that help us operate the Service (described below)
• If required by law or legal process, or to protect safety, rights, and security
• In connection with a business transaction (e.g., merger/acquisition), with appropriate protections

6) Service Providers

A) Deepgram (Speech-to-Text)

Purpose: Convert Audio Input into a Transcript.

Data processed: Audio Input (to produce text).

Model-improvement setting: We send Deepgram requests with the Deepgram Model Improvement opt-out enabled (mip_opt_out=true).

B) Google Gemini API (ai.google.dev)

Purpose: Generate and structure drafts from transcript text and document context.

Data processed: Transcript text and limited context/instructions necessary to produce your requested output.

How we configure Gemini:

• We use Gemini API through a billing-enabled project ("Paid Services") and we do not opt in to share logs/datasets with Google for model training or product improvement.
• We do not send raw audio to Gemini.

Important: Google may retain prompts, contextual information, and outputs for a limited period for abuse monitoring and policy enforcement.

C) Infrastructure Providers

We use cloud infrastructure providers to host our backend, store Documents, and operate core features. These providers process data only to provide their services to us, subject to contractual and security obligations.

7) Data Retention

• Raw Audio Input: Not stored by us.
• Transcripts (default): Not stored by us after processing is complete (other than transient processing needed to provide the Service).
• Improve IdeaDraft transcripts/outputs (opt-in): Retained for up to 30 days, then deleted or de-identified, unless you request earlier deletion.
• Documents: Retained until you delete them or delete your account.
• Backups: Deleted data may persist in encrypted backups for a limited period before being overwritten.

8) Your Choices and Controls

A) Microphone permission

You can grant or revoke microphone permission in your device settings.

B) Improve IdeaDraft opt-in

• You can opt in during sign-up and change your choice in Settings at any time.
• Opting out stops new transcript retention for improvement.
• You can request deletion of previously stored Improve IdeaDraft transcripts by contacting support@ideadraft.ai.

C) Delete Documents

You can delete saved Documents in the app (where available). Deletion removes the Documents from your account in our active systems, subject to backup retention.

D) Account deletion

If you have an account, you can request deletion of your account and associated data. We provide an in-app method to initiate deletion and may also provide a web-based method where required.

9) Security

We use technical and organizational safeguards designed to protect information, such as encryption in transit and access controls. No system can be guaranteed 100% secure.

10) International Data Transfers

We and our service providers may process information in countries other than where you live. Protections may vary by jurisdiction.

11) Children's Privacy

The Service is not intended for individuals under 18.

12) Recording Responsibility

You are responsible for ensuring you have the right to record and process audio, including obtaining consent where required by law.

13) Changes to This Policy

We may update this Policy from time to time. We will update the "Last updated" date and may provide additional notice for material changes.
